Advancement Services Associate

Located in the Annex neighbourhood in downtown Toronto, Royal St. George's College is an urban day school for boys that combines academic excellence with a stimulating and supportive environment. The Advancement Services Associate will be responsible for all activities related to gift processing, stewardship, Raiser’s Edge database support and will be an integral member of the Advancement & Alumni Relations team at Royal St. George’s College. The Advancement Services Associate will represent Royal St. George’s College with professionalism and integrity. The successful candidate will be proficient with the donor database Raiser’s Edge, Online Express platform and related tasks such as stewardship, fund campaign setup, data integrity and data manipulation using Excel. The individual must be proactive and a self-starter working closely with colleagues in Advancement, IT, and Finance. Strong organizational skills with significant attention to detail, exceptional communication and writing skills are critical.  This role requires strong knowledge of CRA guidelines for charitable organizations in Canada as it pertains to tax receipting.

Raiser’s Edge
• Advanced experience with Raiser’s Edge, including the NXT interface (preferably bCRE Professional Level certification)
• Responsible for developing, running and exporting queries for reporting and communication purposes
• Contribute to identification of KPI’s for Advancement team through creation of monthly reporting for the Department to identify success of fundraising campaigns
• Proactive identification and resolution of data integrity issues  
• Manage and execute regular data clean-up and maintenance projects to ensure the utmost of data integrity in collaboration with the Database Manager.
• Design and prepare Raiser’s Edge database in preparation for fund campaigns  • Develop, maintain and update online donation forms through Online Express (OLX) platform including:  
 
Gift Processing and Stewardship
The Advancement Services Associate will contribute directly to the development of the relationship with the donor by ensuring prompt and accurate processing of gifts, stewardship, and communication with the donor to complete payment of their gift using Raiser’s Edge.  Facilitation of gift processing and stewardship aspects of this role include:

• Ensuring accurate procedures, policies and CRA regulations are being adhered to through ongoing collaboration with the Finance Department
• Coordinate and execute gift processing using Raiser’s Edge (RE) database. Reconcile donor gifts processed with the Finance Department
• Perform daily gift processing in Raiser’s Edge, ensuring accuracy and data entry protocols and procedures are adhered to
• Maintain and update the Advancement protocols and procedures manual on a regular basis
• Identify gift processing inconsistencies and take action to escalate and resolve as necessary
• Proactively contact donors/alumni to keep records updated  
• Adherence to service level commitments related to stewardship including; receipting, follow up and acknowledgement
• Sound decision making and judgement related to major gifts and stewardship follow up
• Develop and maintain snapshots / dashboard panels within the database for reporting purposes so that donor information is accessible to the Advancement team at anytime
 
Other Duties
• General support to the Advancement Department as required
• Maintain an awareness of other roles within the Advancement team and within the College for utilization of information extracted from the database.
• Assist with bi-annual Gala Committee administration for tax receipting (post-COVID)
• Support team members with Alumni Events as required/requested
•  Prepare Donor Prospect Profiles for use in major gift solicitation  
 
 Qualifications
• University degree, college diploma or combination of 3-5 years of experience in this field
• Two to three years experience in non-profit, development, or related field
• Understanding of fundraising standards and methodologies
 
Knowledge, Skills, and Abilities
• Highly proficient in Microsoft Office (Word and Excel) and advanced experience with Raiser’s Edge, including knowledge in NXT
• Strong knowledge of CRA guidelines
• Knowledge of Finance and Accounting would be an asset
• Knowledge of in Crystal Reports an asset
• Extremely high attention to detail
• Strong organizational and time management skills
• Strong verbal, written and interpersonal communication skills. Ability to interact with a variety of individuals and audiences graciously
• Ability to work with and maintain highly confidential information
• Demonstrated ability to work as a member of a team
• Comfortable managing multiple tasks in an energetic environment
• Capability to work well under pressure with periodic heavy workloads
• Highly self-motivated, takes initiative to ensure objectives are met
